Name of PCR Purpose of the Form When Do I Use This Form?
Add Non Employee (Not pd by the University) The purpose of this form is to appoint an individual not paid by the university.  
Additional Appointment The purpose of this form is to add an additional assignment to an employee. Additional uses for this form: 1) Change in Position that requires a payroll area change (hourly to salaried, paid to non-paid, etc.). 2) Rehire an employee into a position that requires a payroll area change (previous position hourly, new position salaried, etc.). The purpose of this form is to: 1) Add an additional assignment to an employee paid by the university in the same payroll area; 2) Change in position with a payroll area change (hourly to salaried, paid to non-pay, etc.); 3) For staff employees, change in position with FTE change other than the first day of the month; 4) For faculty employees, FTE change mid-month (ex: January and July).
Change in Cost Distribution The purpose of this form is to change an employee’s funding source in the SAP system.  
Change in FTE The purpose of this form is to change an employee’s FTE (percentage of time worked) in the SAP system.  
Change in Pay The purpose of this form is to change an employee’s rate of pay.  
Change in Position/Transfer to Another Department The purpose of this form is to move an employee to a different position within the same payroll area (hourly to hourly or monthly to monthly). If the employee is changing payroll areas, an Additional Appointment PCR is required. For Staff employees only, the effective date must be the first day of a workweek (Tx State workweek begins on Sunday) if the FLSA status will change (exempt to non-exempt). Actual change in position with no payroll area change.
Change in Work Schedule The purpose of this form is to change an employee’s work schedule in the SAP system. Departments must have prior approval to use a flexible work schedule.  
End Additional Appointment The purpose of this form is to end an assignment for an individual with multiple appointments or for a change in payroll area (hourly to salaried, etc.).  
Leave with Pay The purpose of this form is to document an employee’s paid status for either of the following: Faculty Developmental Leave, Presidential Assignment, Workers’ Compensation or Military Leave.  
Leave Without Pay The purpose of this form is to change an employee to unpaid leave status (PCRs should only be created if the unpaid leave status is for an entire calendar month).  
New Hire The purpose of this form is to hire a new salaried employee paid by the university. This form is appropriate only if the person has never been employed by Tx State.  
Quick Hire (Hourly Student/Hourly Staff/Task Workers) The purpose of this form is to hire a new hourly or task employee paid by the university. This form is appropriate only if the person has never been employed by Tx State. Task positions are only applicable for exempt level duties.  
Quick Rehire (Hourly Student/Hourly Staff/Task Workers) The purpose of this form is to rehire an hourly or task employee into a position within the same previous payroll area (hourly to hourly). Task positions are only applicable for exempt level duties. To rehire an hourly or task employee (S1-Semi-Monthly) from a withdrawn status (break in service).
Reappointment of Per Course Faculty The purpose of this form is to reappoint a current faculty member paid on a per course basis in the same department.  
Rehire The purpose of this form is to rehire a salaried employee into a position within the same previous payroll area (monthly to monthly). To rehire a salaried employee (M1-Monthly) from a withdrawn status (break in service). This is not used for employees in an inactive status (ex: faculty on Leave Without Pay in the summer).
Return from Leave The purpose of this form is to return an employee to active status or document a change in paid status (Ex: Return from Faculty Development Leave).  
Separation The purpose of this form is to end an individual’s employment with the university (paid or non-paid). A Separation PCR is not created for an employee transferring to another department.
Special Payment The purpose of this form is to pay an employee an amount that is not part of the base salary. This payment can be made on a one-time or recurring basis. Stipends cannot be paid to non-exempt employees.
Teaching Overload The purpose of this form is to appoint an employee for teaching a course above their normal workload. Non-exempt employees are not allowed to teach.
